Description
The HR Operations Specialist is responsible for ensuring the efficient and accurate execution of day-to-day human resources processes that support the employee lifecycle. This role serves as a key point of contact for HR systems, data integrity, compliance, and operational excellence. The HR Operations Specialist manages core HR administrative functions—including onboarding, offboarding, HRIS updates, reporting, benefits administration support, and policy implementation—to ensure a seamless employee experience.

Working closely with HR leadership, payroll, talent acquisition, and other internal stakeholders, the HR Operations Specialist helps maintain streamlined workflows, ensures adherence to company policies and legal requirements, and actively identifies opportunities to improve processes. The ideal candidate has strong attention to detail, excellent organizational skills, and the ability to maintain confidentiality while handling sensitive information. This role plays a vital part in maintaining a well-functioning HR infrastructure that supports organizational priorities and enhances overall employee engagement.

Requirements
Responsibilities (including but not limited to)

Administers health and welfare plans, including enrollments, changes, and separations

Assist with employee educational programming related to benefits and wellness programs

Processes required actions in a timely manner through payroll and insurance providers to ensure accurate record-keeping and proper payroll deductions

Administers employee leave of absence programs for short-term disability and FMLA

Performs customer service functions by answering employee requests and questions

Assist Talent Acquisition by processing Offer Letters and background checks for new hires

Provide necessary communications and data required for new hires and separations to IT, Payroll, Finance, and other departments as appropriate

Complete required programming and steps to onboard new employees into the HRIS and the expense report system

Work with external vendors to ensure data accuracy, system integrity, and compliance

Assist with audits and requests for information, providing accurate and timely responses

Maintain Company Org Chart and partner with Quality/Compliance Teams to ensure accurate monthly reporting

Complete Data requests required for internal and external reporting, including but not limited to AAP, EEOC, Vet’s-100, and AON Salary Survey

Assist with employee programs such as anniversary awards, care packages, employee SWAG inventory and other employee recognition programs as needed

Reconcile invoices related to employee benefits and ensure accuracy of enrollment data

Create and maintain the electronic employee folders ensuring that all important documentation is properly stored and organized

Support the implementation and completion of Performance reviews and merit increases in terms of systems and actions required

Collaborate with IT, HR, and Payroll teams to implement system enhancements, upgrades, and integrations to streamline processes and improve user experience

Foster a culture of continuous improvement and innovation within the HR team, promoting efficiency and effectiveness in processes and workflows

Collaborate with cross-functional teams to support organizational initiatives, such as mergers and acquisitions, restructuring, and expansion plans

Additional responsibilities as assigned

Education/Experience/Skills

BA/BS in Management, Human Resources or related field

5 or more years’ experience in HR, preferably in a similar industry or high-growth company

Experience working in a virtual world across a multi-state organization

Highly proficient in Excel with strong working knowledge of Pivot Tables, Circular References, Formulas, V-Lookups, Filters and Custom Formatting

Proficient with Human Resource Information Systems such as ADP, Workday, SAP, Paylocity, etc.

Advanced working knowledge of Finance AP/Expense Reporting systems such as Concur

Strong system knowledge of the Microsoft Office Suite, TEAMS, Canva Publisher, Docusign and SharePoint

Understanding of standard HR Policies with ability to write standard operating procedures

Strong communication skills with an orientation to customer service and providing a personal touch with empathy

Able to work independently, be self-motivated and willing to help at any level

Accustomed to working in a fast-paced environment with shifting priorities

Comfortable dealing with ambiguity and having a sense of curiosity. If you don’t know the answer, know who to ask and/or do the research to find the answer

Able to routinely work out of the Coral Gables FL Headquarters 3-4 days per week

The base salary for this position will range from $110,000 to $121,000. Candidate experience, professional licensing, and geographic location will be taken into consideration.
