Description
Job Overview: The Assistant Community Manager is responsible for overseeing daily administrative tasks, resident interactions, and ensuring the community operates smoothly. The role includes conducting regular inspections, addressing resident concerns, managing community communications, assisting with compliance, and supporting the General Manager (GM) with budget items, vendor management, and reporting. The Assistant Community Manager will also manage the community website, ARC and DRC process, architectural and variance requests, and violations, providing high-level customer service and support to residents, vendors, and staff.
Compensation: $24-$28.84 per hour. FirstService Residential will compensate the successful candidate in accordance with the posted range. The salary or wage paid will be based on experience, education, certifications, and specific responsibilities. For positions at a client’s property, salary will also depend on the client's directive. The base pay range is subject to change.
Your Responsibilities
- Inspect and document community modifications and violations, ensuring compliance with community guidelines and issuing violations, following through to ensure compliance.
- Perform monthly community inspections, managing ARC and DRC items for upkeep and compliance.
- Ensure ARC and DRC processes are followed, documented, and filed correctly, including submissions, correspondence, letters, packets, and minutes.
- Assist residents with the ARC and variance process for clarification and understanding.
- Communicate Board and DRC decisions and resolutions, and follow up on compliance and hearings.
- Track and document the status of all ARC and DRC submissions and requests.
- Assist with administrative tasks such as answering calls/emails, processing requests, payment tracking, and vendor coordination.
- Oversee swim lesson scheduling, processes, and procedures.
- Prepare for meetings, take minutes, organize community events, and manage logistics.
- Handle compliance matters, including delinquencies.
- Manage resident and vendor inquiries professionally, ensuring timely resolution.
- Create and distribute newsletters, memos, and community communications, including bill toppers.
- Manage amenity access systems, including Pool ID Cards and Transponders.
- Support the GM in financial reporting, budgeting, mailers, election processes, Board packet preparation, and vendor management.
- Assist in preparing reports, proposals, and meeting materials.
- Coordinate electronic filing, including uploading hard copies into the Connect portal.
- Maintain organized community records and files.
- Act as backup for front desk and customer service operations.
- Assist the office administrator and facility manager as needed.
- Keep an organized workspace and complete mandatory training.
- Assist with special projects and other duties assigned by the GM.
- Perform other duties as assigned.
Skills and Qualifications
- 3+ years of customer service experience, preferably in HOA or property management.
- Strong interpersonal and communication skills for positive relationship building.
- Excellent organizational and time management skills.
- Proficient in Microsoft Office Suite; willingness to learn new software.
- High attention to detail, problem-solving, and conflict resolution skills.
- Ability to work independently and as part of a team.
- Valid driver’s license with a clean record.
- Bilingual candidates preferred but not required.
Education & Experience
- High school diploma or equivalent; a 2-year college degree is preferred.
- Experience with architectural submissions and meetings is a plus.
Physical Requirements
Must be able to walk throughout the community, work in various weather conditions, lift up to 20 pounds, and perform tasks requiring standing, sitting, and walking for extended periods. Travel within the community for inspections and meetings is required. Work hours are Monday to Friday, 8:00 AM - 5:00 PM, with flexibility for evenings and weekends for events and meetings.
