Summary
Crown is looking for a dynamic Project Manager to oversee production of all creative projects within the Therapeutics division, acting as an advocate for creative needs, production budget tracker, communication liaison with cross-functional partnerships and stakeholders, and traffic manager ensuring full team accountability to timely task ownership throughout the lifecycle of projects.
The Creative Project Manager should be a master of detail and organization, with a keen adherence to due dates and budgets. The role will require high adaptability and a growth-mindset that seeks continued process improvement to uphold efficient operations.
Key Responsibilities:
Brand Projects and Campaigns (across print, digital, experiential, and media production)
- Own all brand initiatives and projects from schedules and timelines to tracking, trafficking, and producing assets.
- Work closely with cross-functional partners to define and refine the process ensuring the creative team is getting the right information on briefs for kick-off meetings and the proper timing for projects to be completed on time and within budget.
- Determine project priority ranking based on financial investment and/or business impact
- Manage stakeholder timeline negotiations to balance competing priorities
- Lead creative brief intake/kick-off sessions, reviewing all incoming briefs prior to kick-off to ensure critical delivery details are included.
- Master timeline owner for all brand initiatives, including timelines, schedules and task tracking. Collaborate with delivery team and stakeholders to complete project timelines for each brief received.
- Maintain all cross-functional relationships on behalf of the creative team.
- Schedule and facilitate all creative team kick-off meetings, project touch bases, and review/feedback meetings, including meeting agendas and follow-up summaries with any decisions and post-meeting actions captured.
- Ownership of collection and consolidation of feedback across multiple stakeholders to ensure direction provided to the creative team is actionable.
- Own the intake, delegation, and tracking of incoming existing asset sourcing and print order requests
- Actively engage in the Commercialization conversation as an informed representative of the creative team, with attention to delivery needs and timelines
- Work to solve challenges independently as they arise and bring solutions to the Creative Director for alignment.
- Manage workflow, streamlining creative workflows, assigning tasks, and coordinating resources to optimize productivity and minimize bottlenecks.
- Lead naming conventions, organization and upkeep for Monday.com
- Lead organization on creative storage platforms (server, Dropbox, etc.) – define what lives where and share this out with internal and external teams.
- Lead record-keeping and organization for all production-based contracts and releases, including those for photo and video shoots, model release forms, photography licensing, etc.
- Manage department process documents, in collaboration with Creative Director
- Audit existing practices and processes, and surface recommendations and solutions for improved operations.
- Lead roll-out communications and team trainings to support related process changes or improvements.
- Own the creation of training materials documenting processes to be adopted or upheld, in collaboration with Creative Director.
- Manage work with outside freelancers, vendors, etc.
- Collaborate with Creative Director as needed when scoping projects with vendors, planning dates/finalizing calendars internally and externally, setting pre-production and post-production timelines, and routing internally.
- Manage ordering, packing, and shipping props and/or bulk products from the warehouse for event and photo or video production purposes
- Delivery of final retouched/edited assets
- Funnel invoices into accounting and contracts to HR
- Yearly Budget Development Planning, in collaboration with Creative Director
- Co-ownership of production budgets (pre- and post-production) with Creative Director
- Reforecasts
- Knowledge of Agile practices required; certification in Agile methodologies with a proven track record of positive process transformation preferred
- Highly skilled in Monday.com; experience in Asana and other project management software appreciated
- Proficiency in Microsoft PowerPoint, Excel, Word, Outlook, Teams, and OneDrive; experience in Microsoft SharePoint appreciated
- Proficient in Adobe Acrobat and Adobe Share for Review
- Experience working with creatives and a clear understanding of the creative process (including photo and video production) and challenges faced by creative teams
- Budget management, including experience tracking expenses and ensuring projects stay within budget
- Task delegation, supervision, and timeline accountability

- A bachelor’s degree or higher and 5+ years of experience in creative project management or related field required.
