Hearst has an exciting opportunity for a dynamic events professional to help us bring to life the many diverse initiatives happening corporately at Hearst.
Working with the Senior Director and Vice President of Events Marketing & Special Projects, the Senior Coordinator is responsible for supporting the event strategy and development of Hearst corporate events, both in-person and virtual. The Senior Coordinator will contribute to the development of event presentations, research trends in events and culture, coordinate communications materials and manage logistics to ensure smooth execution of the events.
Essential Functions
The Senior Coordinator will support the Senior Director on initiatives across divisions and businesses - from project conception to execution.Research trends and personalities in the culinary world, entertainment and the arts.Maintain database of vendors.Help to create and manage timelines with changing goals and priorities.Prepare and send invitations, reminders and surveys using online platforms such as SurveyMonkey and Outlook.Serve as on-site event manager, overseeing logistics and coordinating with vendors and internal teams to ensure success.Maintain event budgets, optimizing both internal and external resources to create efficiencies and support goals.Manage post-event wrap-ups as needed.Coordinate with Creative Communications and Marketing Communications teams on the development of collateral materials.Requirements
3-5 years of events experience in a corporate, non-profit or agency setting.Excellent interpersonal, communication and presentation skills.Outstanding collaboration skills, solution-oriented, able to work across multiple functions, businesses, internal and external organizations with confidence.Ability to manage shifting priorities.Attention to detail and deadlines. Confidence in decision-making.Comfort in a fast-paced environment, working on multiple projects simultaneously.Highly organized, with grace under pressure and a mindset geared to professionalism and creative solutions.Computer skills: Proficient in Microsoft Suite, Google, SurveyMonkey, Airtable and event-related platforms. Aptitude for learning and using new software.Supervisory (Management) Responsibility
Management responsibility for contracted external suppliers and vendors.
In accordance with applicable law, Hearst is required to include a reasonable estimate of the compensation for this role if hired in New York City. The reasonable estimate, if hired in New York City, is $65,000-$80,000. Please note this information is specific to those hired in New York City. If this role is open to candidates outside of New York City, the salary range would be aligned to that specific location. A final decision on the successful candidate's starting salary will be based on a number of permissible, non-discriminatory factors, including but not limited to skills and experience, training, certifications, and education.
